Campaigning guidelines for the EA British Academy Children's Awards 2008.
The Academy's Children's-voting members make their choices for the annual Children's Awards on the basis of the creative merits of each programme/film/video game. Bearing in mind the sheer volume of entries, the Academy strongly supports making all the television programmes and films entered for consideration available for voting members to view should they have missed their transmission/theatrical release.
To ensure that all the programmes/films being considered have had the optimum opportunity to be viewed, the Academy provides a free streaming platform in the secure membership area of BAFTA's website. This means that there is no need to mount screenings or to go to the cost of sending out DVDs. Any company wishing to stream its film or programme needs to send us a digital file of the programme or film, and the Academy will upload it onto the site approximately one week before the voting commences and then for the ten-day voting period.
TECHNICAL INFO: We can receive the file in any of tyhe following formats: MPEG2 or MPEG4 (greater than 10Mb/s), DV25/50, an AVI uncompressed or a MOV (greater than 10Mb/s). The ideal standardisation is MPEG2 and please note that standard definition is preferable to HD at this stage. The files should be sent to Lisa Prime, Children's Awards Officer, BAFTA, 195 Piccadilly, London W1J 9LN. Please note we cannot accept files via FTP. All files to be received by July 18 at the latest.
In the case of film distributors, the Academy realises that some may prefer their films to be seen in a theatre or on a DVD. There should however be no attempt to influence votes by means of 'inducements'. Although additional information is sometimes useful in helping our members make informed judgements, information delivered in too lavish a way may discriminate against less well-resourced production companies and be seen as an inducement. It is the Academy's aim, as has been the case to date, that all Awards campaigning be conducted in a fair and ethical manner.
The Academy's Children's Committee reserves the right to review any activity that may or may not be described in the guidelines below. Those companies who do not conform to these guidelines may have their access to the membership database withdrawn. These are intended as guidelines only. No-one should assume that matters not included in these guidelines are or are not approved. GUIDELINES
1. Screenings
- If any screenings of films take place, the Academy asks that it be notified
- The provision of food at screenings is permitted, but not on a scale where it could be seen as an inducement
- The distribution of gifts to screening attendees is not permitted
- Q&A sessions after the screening of a film are permitted, but recording them and distributing them to members is not
2. Brochures/printed materials and Screeners/copies of games
- If you wish to send members additional information about your film/video game, this should be limited to either one single two-sided A4 document per entry or the latter plus covers
- In the case of films, you may include a list of key cast and crew, a short synopsis and screening information
- In the case of video games, you may include a short description on the game's objectives and appeal to children
- Quotes and reviews are not permitted
- You may wish to include a promotion of a number of films/video games within one booklet. The same limit of two sides of A4 per film/video game applies and you may add a cover
- Covers may contain Company details (contact numbers, etc) but no details of the films/video games
- If you intend to send any printed materials to our members, the Academy requests that you provide a prior copy for approval to ensure this does not contravene the specific requirements. This may be sent as a hard copy by post or as a pdf file via email to Lisa Prime at lisap@bafta.org
- Please do not send 'Making Of' books
- You may send out invitations to screenings of films entered into the Awards
- You may send out screeners (DVDs or video games) of films/video games entered. Screeners must contain the film/video game only and not feature any additional filmed material.
3. BAFTA Logos
- Production companies/Film distributors/Games publishers may only use the BAFTA logos in print and broadcast once a programme/film/video game has been nominated. Logos can be provided by the Academy before the nominations are announced, for advance artwork preparation, but must only be used if the programme/film/video game receives a nomination. The official event logo must be used with nominations.
- Should any games developers/publishers or film distributors wish to promote the films/video games they are entering for the EA British Academy Children's Awards in 2008 by sending out copies, the Academy will make its membership list available through a third party mailing house prior to the start of online voting.
- All costs associated with the mailing house and postage must be borne by the distributor or games developer/publisher.
- The Academy kindly invites distributors and games developers/publishers to respect these rules and regulations. Any organisation abusing this facility will forfeit their right to access this information.
